Generate AI Topic Notes for Recruiters

The AI-Generated Topic Notes feature explained

Feature Summary

The Recruiter AI Notes feature will summarize portions of an interview transcript that are relevant for a particular skill or focus area being assessed in the interview. It will generate a skill-specific summary of the candidate, allowing you to conveniently document the observation of a candidate's proficiency on a particular skill. These notes are automatically in the interview record Hireguide, allowing you to retrieve them whenever you like to share them with your hiring team and to help you justify your hiring decision.

Requirements

  1. The Recruiter AI Notes feature is only enabled for Hireguide users with Owner or Recruiter permissions.
  2. The Recruiter AI Notes feature uses the interview transcription to generate notes. In order to access this feature, your Workspace must have the transcription feature turned on (with or without video and audio recording), and the specific interview must have been transcribed.

Generate an AI Topic Note

The AI-Generated Topic Note feature is accessed via the Interview Scoring page in the Notepad section. For Recruiters, this is the default view (see screenshot below).

Since AI-Generated Topic Notes are based based on a particular skill or focus area, simply select a skill from one of the following categories:

  1. Skills currently listed: These come directly from your interview guide, so whichever skills you planned to assess in advance are the ones you see here.
  2. A custom topic/skill: You can add a new skill of focus area that you didn't plan in advance.
  3. Screening topics: Select a basic qualification from the dropdown menu. These are generally topics that are covered in screening interviews.

As soon as you click a button or add a new topic, Hireguide will generate a summary of that topic for you based on the transcript. As seen in the screenshot above, the note is generated for the 'Conflict Management' topic that was covered in this particular interview.

Modify or delete an AI Topic Note

After you generate an AI Topic Note, you have the option to edit the note or change the length of that note.

Edit the note

To edit an AI Topic Note, hover over and click on the field containing the summary text. This will activate the 'editing' mode, and you can make edits directly to the text as you see fit.

Change the length of the note

Once in editing mode, you also have the option to shorten the note to make it more concise or to lengthen the note to make it more elaborate. Change the length of the note by clicking one of the paragraph lengths to the right above the text field.

Delete the note

In the screenshot above, directly to the right of the paragraph lengths icon is a trash can icon. To delete the AI note, simply click the trash can icon and it will be removed.

Reorder notes

Once you have multiple AI-Generated Topic Notes, you may want to re-order them. For example, you may want to include your screening ones first. In order to change the order of the notes, click and hold down the 6 dots to the left of the topic for a particular note. This will allow you to drag and drop the content field to your desired order.

Once you've finished generating your topic notes, complete the additional scoring requirements on the scoring page and submit your scores. You can revisit these at any time by returning to that particular scoring page as they will be stored in the interview record.
