Plan a position with the multi-round planner

💡Why should I learn this? Hireguide’s multi-round planner helps you plan a full interview process in just a few clicks. You’ll end up with a birds eye view of your position plan which includes the number of interview rounds, the skills being assessed in each round, and the questions being asked to assess each of your chosen skills.

Access the multi-round planner

There are two ways to access the multi-round planner. 

  1. You can click the Structured Interview card on the Home Screen in your workspace. This will bring you through the multi-round planner workflow and will automatically add a position to your workspace when you complete the steps. 

  1. You can add a position via the positions menu. When you click Add a Position you’ll have the option to choose ‘Position Only’ or ‘Position with Interview Plan.’ Choose the Position with Interview Plan to create a position using the multi-round planner. 

Define the role 

The first step in the multi-round planner is to define the role you’d like to plan for. Simply type your role in the field, and select a role that appears in the dropdown list or create your own. 

Next, you can add a job description to Hireguide. If you add a job description, Hireguide will search your job description for skills relevant to your role to help you focus your interviews on these skills. It will present these skills in the next step and ask you which ones you’d like to focus on.

If you have an ATS connection in your workspace, you will also have the option to connect this new Hireguide position to a position in your ATS. When you connect this position to one in your ATS, Hireguide will automatically import the job description from your ATS if you have one stored there. 

Click Next to move to the next step. 

Build Scorecard

The next step in the multi-round planner is to select the skills you’d like to focus on when interviewing for this position. At this stage, you should select the skills you’d like to cover across all interviews (e.g., screening, manager 1:1, and panel interviews). Hireguide will automatically allocate different skills to different interview rounds in the next step, and you can modify the suggestions as you see fit. 

The skills are divided into different categories. 

  1. Skills: If you loaded a job description in the previous step, you’ll see one section of skills that were pulled from your job description and another section of skills for this particular role recommended from Hireguide’s skills database.
  2. Common interview topics: These are common areas you might also want to focus on when interviewing candidates.
  3. Workspace focus areas: These represent your company values. The user with ‘Owner’ status in your workspace is responsible for populating these, and you likely want to assess these for every role. For more information on setting up workspace focus areas, see the article linked here. 

🤓 Best Practice Tip

We recommend choosing 12-15 skills to assess for each position. This number will allow you to assess the candidate’s proficiency in those skills in a reliable and valid manner across 3-4 interviews. If you’d like to assess more than 15 skills, you’ll want to consider adding additional interviews (e.g., for a total of 5 or 6).

Plan Rounds

The last step in the multi-round planner is to distribute the skills you’ve chosen across your interview rounds. As you distribute skills across rounds, Hireguide is also populating an interview guide with skills-based questions for each round which will also become your scorecard. You can choose to edit these now or revisit the guide and make edits later. 

Start by defining the number of rounds for this position. You can add a round by clicking the + Add Round button on the right side of the screen. You can delete a round by clicking the trash can icon underneath a round title. 

Once you have your chosen number of rounds, start planning which skills you’d like to assess in each round. You can clear the existing data if you’d like to start fresh, or you can modify it by clicking on the individual cells for each round. 

Click once in a cell to assign the skill to a round. Click a second time to add a question to a round for that skill. With each additional click, you add an additional question to the round for that skill. 

To preview your questions, simply click on the number in the cell. A modal with the suggested questions will pop up. You can leave them, delete them, or go back to the main screen and add a new one if you’d like. If you want to make an edit to a specific question or add a question of your own, you’ll need to do that once you complete this step in the multi-round planner and revisit the guide for the particular round. 

Once you’ve done planning your skills across rounds, click Finish. This will bring you to your new position page. You’ll see all the rounds you created, and each round will have an associated guide. You can make edits directly to the guides here.
