User roles and permissions in Hireguide

💡 Why should I learn this? Each user is assigned a specific role in Hireguide, and each role has its own configuration of permissions in the application. This article provides an overview of each of the roles and the associated permissions.

Understanding and assigning user roles

Only users with Owner status in Hireguide can assign roles to other users in their workspace. Owners can learn how to add and manage permissions in this article.

There are four different types of roles in Hireguide, each with their own set of permissions:

  1. Owner: Full access to all Hireguide permissions in workspace and positions.
  2. Recruiter: Access to all position and functionality. Content and user management permissions in workspace settings are limited.
  3. Hiring Manager: Full privileges within positions they're assigned to as Hiring Managers. No additional admin access in workspace.
  4. Interviewer: Limited to only participate in interviews they've been given access to. Any other position information and capabilities are restricted. No additional admin access in workspace.

See the table below outlining how the permissions vary by role.

Workspace permissions and position permissions

Permissions are assigned at two different levels in the Hireguide platform:

  1. Workspace-level
  2. Position-level

The purpose of Workspace-level permissions is to limit access to account configuration and administrative workspace settings.

The purpose of Position-level permissions is to limit access to confidential information in interviews. Owner and Recruiters have full access to all Positions, whereas Hiring Managers and Interviews access in Position is differentially limited.

The permissions in a Position take precedence over the permissions in the Workspace. This means that even if you're an Owner or Recruiter in your Hireguide Workspace, if you're assigned 'Hiring Manager' or 'Interviewer' status in a Position, you'll be restricted to performing certain actions or viewing specific elements accordingly. If you are an Owner or Recruiter that does not have an assigned role in a Position (i.e., you are not involved in hiring for that position), you'll be able to perform all actions and view all elements.

The following provides an overview of how the Workspace-level permissions vary across roles.
